前两天一位朋友的求助短信,这位朋友在福建泉州,因为疫情,工厂停工,他们不得不居家办公。
客户催订单交期,但这位朋友的回复并没能让客户满意,导致客户想要退款。
外贸新人朋友们,平时在公司上班时,可以请教领导,可以与同事沟通处事办法.但居家办公,有问题时不方便随时向同事及领导请教,很容易导致出错。
所以,今天我将他的问题与我的解答分享出来,希望能帮助到正在面临类似情况的外贸朋友们。
以下为这位朋友与客户之间的交流,看起来客户并不满意这位朋友的回复。
从上面这位朋友发给客户的回复来看,显得有些生硬。
虽然我们都知道疫情发生是属于不可抗力,但我们对于客户的反馈,抱有同理心是必要的。
客户选择相信我们,将订单下过来,我们就得按质按量地服务好他们的订单。
虽然疫情发生并不是我们想看到的,但我们在回复客户时,应该更多地予以他们希望和信心,才能让客户相信,即使我们现在封控,这种情况也只是暂时的。
建议多和客户说说我们在怎么做,并且让客户明白,我们把他们的订单放在心上,并没有因为疫情,而对他们的服务有所懈怠。
所以,接下来,我将针对这位朋友的求助,分享我的回复邮件模板如下:
Dear Customer:
We are so sorry, due to the city blocked to fight with virus COVID-19, our factory has to be closed and unable to carry out normal production,which also makes you very worried about your order.
However, please believe that China has always attached great importance to virus prevention and control.
And in the past two years, we have made remarkable achievements in virus prevention and control.
So even though the virus is occurring in parts of China, we are happy to see that the number of new infections is falling every day.
Till today most of our city is reopen to normal production and life, although our town is still blocked at the moment.
We are confident that the epidemic will soon come under control, that we can soon return to normal production and life, and that your order will be completed and shipped as soon as possible.
At present, the raw materials of your order have arrived at the company's warehouse on Mar.15th, and the first two programs have been completed on production line.
We believe that if the factory reopen, we can restart the production immediately, putting your order in a state of emergency, and completting the shipment as soon as possible.
We work at home, and we can see all your information and problem feedback, we will also timely reply.
Please believe that we continue to handle all the business, and the epidemic will not affect the normal operation of the company.

很抱歉,由于疫情封控,导致目前我们工厂停工,无法开展正常生产,也让您对您的订单充满担忧。
但请相信,中国对于疫情防控一直以来都很重视,而且在过去2年,我们在疫情防控上取得了举世瞩目的成绩。所以,即使现在疫情在中国的部分地区发生,但我们高兴地看到,我们城市的新增感染人数每天都在下降。
到今天,我们城市的大部分地区已经重新开放,恢复了正常的生产生活,虽然我们镇依然在封控中。但我们相信,疫情很快会控制住,我们很快可以恢复到正常的生产生活,您的订单将会尽快完成发货。
目前,您订单的原材料已经在3月15日到了公司仓库,而且前面2道工序也已经完成。我相信,只要工厂开工,我们就可以马上生产,将您的订单放在紧急状态,尽快完成出货。

外贸业务员,站在企业冲锋第一线,尤其在公司出现重大事件的时候,我们的信心很重要。
同样,我们给客户传递出正面信息,也很重要。
